The main steps to renting:

  3. Request a full breakdown of all fees and refund policies
  4. Ask your agent to negotiate and agree terms with the landlord
  5. Read the tenancy agreement carefully – and raise questions on anything unclear
  6. Before moving in, pay the first month’s rent and deposit
  7. At check-in, review and sign the Inventory & Schedule of Condition to confirm the property’s state
  8. Confirm whether you deal directly with your landlord or through the agency for any issues
  9. Settle in and enjoy your new home

Tenant registration

You can register your details and search criteria with us online, by phone or just visit one of our offices directly. Our experienced and knowledgeable lettings team will be happy to register your details and answer any questions, they will also be able to guide you through the properties we currently have available to rent.

The Renting Process, Step by Step

From your first viewing through to move-in and beyond, our team is on hand at every stage. Here is what to expect once you have registered your interest.

Viewings

A member of our team will be happy to arrange an appointment and will accompany you on every viewing. Where you are renting as a couple or as sharers, all parties should attend, as landlords are usually reluctant to agree to a let unless everyone who will be living in the property with you has seen it. Please let us know as soon as possible if you are running late or need to rearrange.

Offers

Once you have found the right home, you can submit your offer in person, by phone or by email. Any requests about the move-in date or furnishings should also be confirmed in writing. To secure the property we take a preliminary holding fee of one week's rent, which is held by Eden Harper and applied towards your move-in monies if your offer is accepted.

Once your preliminary holding fee is paid to Eden Harper it is held pending references — it is no guarantee that the property will be let to you.

The holding fee is refunded should your offer not be acceptable to the landlord. If your references do not prove satisfactory to the landlord or Eden Harper, or if you withdraw for any reason, the preliminary holding fee will be passed on to the landlord, less referencing and the administration cost. If the landlord withdraws for any reason, the whole of the preliminary holding fee will be refunded to you.

References

Each prospective tenant is referenced through an independent referencing agency, unless otherwise advised. As part of our Right to Rent checks, you will need to provide proof of identity, such as a passport or identity card, together with proof of your eligibility to rent in England. Original documents are checked in person and copied for our files.

Initial Monies

All initial monies must reach us in cleared funds at least 48 hours before you move in. Payment can be made by bank transfer, banker's draft or card. We accept Visa and MasterCard payments. Online and card payments cannot be accepted on the day of the move, so please allow enough time for funds to clear. The initial payment typically comprises:

  • The first month's rent in advance
  • A deposit equivalent to five weeks' rent
Deposit

Your deposit is capped at 5 weeks' rent (or 6 weeks if the annual rent exceeds £50,000) and is registered with the Deposit Protection Scheme (DPS). You will be given details of the scheme along with a copy of the registration certificate. An independent inventory clerk records the condition of the property at the start of the tenancy, and a checkout report is prepared at the end. The landlord pays for the inventory check at the beginning of the tenancy and the tenant pays for the check-out report at the end of the tenancy. Any dispute over the deposit is resolved through the scheme's independent arbitration process.

Guarantor

Where a guarantor is required, they will also be referenced and asked to sign a guarantor agreement. We will need identification from the guarantor in the form of a driving licence or passport, together with a recent utility bill.

Rental Payments

After your initial payment, all rent must be paid by standing order as set out in your tenancy agreement. Where more than one tenant is paying Eden Harper, payment should be made from a single account, even if there are multiple tenants. We recommend that a joint household account be set up in this instance so the rent can be paid from one account. We recommend setting up the standing order three days before the rent due date so that, once transferred, the rent arrives on the due date. Interest is charged on overdue rent as set out in your tenancy agreement.

Utilities

Unless otherwise stated, the tenant is responsible for paying for gas, electricity, water, telephone charges and Council Tax. You will need to contact the relevant suppliers directly to transfer the accounts into your name. Contact details for the services are provided at tenancy commencement to make this process easier.

Tenancy Agreement

The tenancy agreement is a legally binding contract. All occupants must be named on the agreement and are jointly and severally liable for the rent and the terms of the tenancy. If you are unsure of its contents or your rights and obligations, we recommend you consult a solicitor. You will also receive the Prescribed Information Form and the relevant safety and compliance certificates. These should be kept safely as further printed copies are not provided.

Tenancy Renewal

We will contact you approximately two to three months before your tenancy expires to discuss your plans. Our team can negotiate renewal terms with the landlord on your behalf, or help you find alternative accommodation if you decide to move on.

Tenancy Changeover

Should a tenant in an Eden Harper managed property wish to leave a shared tenancy and has found a suitable replacement, please email your request and details to our property management team at propman@edenharper.com. Any replacement sharer is subject to Eden Harper credit checks and referencing and the landlord's agreement. An administration fee of £50 per person is charged for tenancy changeovers.

Tenant Fees

We are committed to transparency. All tenants receive a clear breakdown of possible charges before entering a tenancy.

Examples include:

  • Holding Fee: one week's rent
  • Security Deposit: 5 weeks' rent (or 6 weeks if the annual rent exceeds £50,000)
  • Overdue Rent: interest is charged as set out in your tenancy agreement
  • Lost Keys or Security Devices: charged at replacement cost
  • Tenancy Changeover: administration fee of £50 per person
  • Early Termination: permitted payments apply; please contact our property management department for a quote

Please note: additional costs, such as legal or court fees, may apply if tenancy obligations are not met. These may be claimed from the tenant’s deposit.
